Record Management Officer - SPF/ A&F

What the role is:

Join the Singapore Police Force’s Administration and Finance Department (A&F) to support our record management functions and transformation initiatives. As the staff authority for administrative, financial and procurement matters within SPF, A&F optimizes limited resources to meet operational needs. We are dedicated to providing and continuously improving value-based services that exceed stakeholders’ expectations whilst supporting SPF’s mission to prevent, deter and detect crime for Singapore’s safety and security. You will be placed under the Management Executive Scheme.

What you will be working on:

As part of our team, you will maintain efficient records management operations, support the adoption of new technologies and ensure compliance by: • Overseeing and enhancing policies, processes and systems through systematic monitoring of record-keeping practices, document security and ensuring readiness of screening equipment • Promoting and implementing digital-first practices in records management, driving the adoption and optimisation of electronic registry systems in SPF for improved efficiency, security, and accessibility • Planning and leading SPF-wide audits, appraisals, and declassification exercises, ensuring proper governance and lifecycle management of records • Guiding units in managing official records, safeguarding documents and managing registry operations, while ensuring compliance with the Instruction Manuals and policies • Identifying and proposing process improvements and best practices through regular engagement with stakeholders

What we are looking for:

Requirement • Relevant working experience in the civil service or related fields, particularly knowledge of electronic registry systems and digital preservation processes, would be an advantage. • Good understanding of the Instruction Manuals (IM) on Management of Public Records, Policy on Data Management, Singapore Government Instructions for Security of Classified Information and document security audit would be an advantage • Strong communication skills and the ability to engage effectively with stakeholders. • Analytical thinking and problem-solving abilities • Detail-oriented approach with strong time management skills to meet deadlines effectively Short-listed candidates will be contacted within two weeks of the application closing date.
