Business Assistant

About the Role

We are seeking a proactive and detail-oriented Business Assistant to drive operational efficiency and support business growth initiatives. This role encompasses managing e-commerce operations, inventory control, and cross-functional coordination, while assisting in events and brand outreach. The ideal candidate is organized, resourceful, and self-driven—capable of thriving in a dynamic, fast-paced environment. You will play a key role in amplifying our brand across digital channels and strengthening our overall online presence.

Key Responsibilities
1. E-Commerce & Inventory Management
  • Manage listings and product uploads on platforms such as TikTok, Shopee, Lazada, and Grab.
  • Process orders promptly to ensure on-time deliveries and data accuracy.
  • Monitor and update inventory levels to ensure accuracy across all sales platforms.
  • Coordinate with logistics partners and suppliers on stock replenishment and delivery matters.
  • Stay current with trends, new platform features, and campaign opportunities.
  • Track performance using platform analytics to refine strategies.
2. Product Sourcing & Compliance
  • Research and source trending products in wellness, skincare, health food, and supplements from SG, MY, Korea, China, and HK.
  • Evaluate supplier reliability, negotiate prices, and ensure timely deliveries.
  • Review samples and assess suitability for brand alignment and audience appeal.
  • Manage HSA and FDA submissions or approvals when required.
  • Checks products received against Purchase Order or Invoice for quantities and damage.
  • Maintain updated product and pricing information across all selling channels.

3. Customer Service & Communication
  • Demonstrate a strong customer-centric mindset, consistently ensuring a positive and efficient service experience.
  • Manage and respond to all customer inquiries across multiple platforms with timeliness, accuracy, and professionalism.

4. Live Sales & Event Support

  • Coordinate live sales sessions, ensuring smooth scheduling and product preparation.
  • Provide operational and communication support to streamers during live sessions.
  • Help coordinate brand collaborations, KOL partnerships, and affiliate projects.
5. Business Development & Collaboration
  • Support business development and brand growth initiatives by coordinating promotional campaigns, managing collaborations, and identifying new market opportunities and partnerships.
6. Administrative & Operational Support
  • Assist in content creation by gathering visuals and product information.
  • Handle day-to-day administrative tasks and ensure seamless business operations.
  • Oversee all correspondence — calls, emails, messages, and calendar management.
  • Prepare and maintain Purchase Orders, documentation, reports, and follow up on tasks proactively.

Requirements
  • 1–3 years of relevant experience in administrative, e-commerce, or operations roles.
  • Proficient in Microsoft Office / Google Workspace; familiarity with e-commerce platforms (TikTok, Shopee, Lazada, Grab).
  • Works independently and delivers outcomes with minimal supervision.
  • Excellent communication and coordination skills
  • Demonstrates clear accountability and ownership in tasks.
  • Good communication skills in English.
